Eastern State Penitentiary Historic Site is currently accepting applications for a Specialist, Institutional Giving in its Advancement Department. Reporting to the Director of Institutional Giving, the Specialist, Institutional Giving will support the grants strategy for annual operations, restricted programs, strategic initiatives, and capital projects.
Duties include assisting with the preparation of letters of inquiry, grant applications, grant reports, grant attachments, corporate partnership proposals and presentations, stewardship reports, and other related grant correspondence. Participation in special events during evenings and weekends may be required. This position works with senior leadership, program managers, and site staff to advance the museum’s fundraising priorities.
The Specialist, Institutional Giving will work closely with the Director of Institutional Giving to prepare supporting documentation, assemble proposals, and gather information for interim and final reports. In addition, the successful candidate will assist in gathering appropriate Museum materials and messaging for use by the institutional giving team in their sponsorship communications and activations. The Specialist will maintain prospect lists, track plans and progress, prepare reports and work closely with institutional donor data to ensure the integrity and accuracy of the museum’s database.
The Specialist will assist in cultivating foundation, corporate, and government relationships, conduct smooth written and verbal stewardship of donors and prospects, including phone and email inquiries, and will complete other tasks such as greeting donors, or organizing site visits. A successful incumbent will work closely with the Director of Institutional Giving to provide administrative support and will provide assistance for special projects as needed.
Qualifications: Qualified candidates will possess a Bachelor’s degree. One to three years of experience in a museum or nonprofit setting preferred.
Baseline Knowledge: Candidate must demonstrate exceptional writing ability and excellent communication and organizational skills. Experience working in a fast-paced, results-oriented environment and demonstrated flexibility in meeting shifting demands and priorities is a must. Superior organizational skills and attention to detail as well as creative writing, proofreading, and editing skills.
Knowledge of the corporate, foundation and government philanthropy landscape is an advantage. Proficiency in Microsoft Office programs is required; familiarity with Raiser’s Edge, Constant Contact, and Adobe Acrobat is an advantage.
Proactive work style, self-confidence, high energy, strong organizational skills, and an attention to detail are necessary. An interest in history, social history or historic preservation is preferable, but not required.
Meticulous attention to detail; accuracy and the ability to work independently is required.
Able to work evenings and weekends as necessary.
Physical Requirements: Eastern State Penitentiary is a ruin and working conditions are not always ideal. Able to walk and stand for several hours participating in tours with prospective donors and running special events.
