Job Summary

The Program Coordinator/Manager of Office Management and Special Projects is a critical member of the Lindy Center for Civic Engagement’s team. The position reports to the Assistant Director of Student Engagement. In this role, the Program Coordinator/Manager is responsible for office management of the Lindy Center for Civic Engagement and supports student engagement programs including student volunteerism, student leadership, and co-curricular civic engagement, supporting the development and implementation of the Lindy Center’s opportunities. Students engage with the Lindy Center in a variety of ways and part of this role will be to serve as a point of contact for Drexel students, staff, and community partners interested in civic engagement and looking for a way to connect to the Lindy Center through its programs, its resources, or its connections to other relevant stakeholders. The Program Coordinator/Manager collaborates with all members of the Lindy Center staff and colleagues in the Office of University and Community Partnerships, as well as other university and community partners.

Essential Functions

Office Management:

  • Serve as one of the front office representatives, create a welcoming environment, greet visitors, and direct them to applicable people/offices

  • Oversee Lindy Center email and provide basic information or connections to potential students, current students, staff, faculty members, and alumni

  • As Staff Liaison to the Human Resources team, manage the background check process for all students working with youth including, but not limited to, CIVC 101, CBL courses, individuals and student organizations serving at youth sites.

  • Manage and standardize the hiring process for students, co-ops and adjuncts and monitor and approve timesheets for all student employees. Provide feedback and support as needed to make the compensation and hiring process at the Lindy Center equitable and fair.

  • Hire and supervise a diverse team of student employees to support the Lindy Center office

  • Serve as the primary contact for all aspects of office operations including facilities, custodial issues, building keys, ordering office supplies, technology, and external vendors

  • Create a welcoming appearance in the office and maintain order in common areas and supply closets on both floors.

  • Support and update SOPs for office processes and procedures to support employee onboarding

  • Manage the yearly office Outlook calendar; manage planning timelines for specific Lindy Center events and activities with oversight from the Lindy Center Executive Director

  • Assist staff with planning and coordinating campus events such as Welcome Week, MLK Week and other Lindy Center events

  • Responsible for reconciliation of credit card statement for the office purchase card system

  • Support Lindy Center communications, outreach and social media planning and management, including editing and managing the bi-weekly newsletter and scheduling (3-5) social media posts weekly with oversight from the Assistant Director

  • Maintain website updates on Drexel’s Sitecore web management site as necessary

  • Maintain student and community partner records in the Lindy Center’s civic engagement database. Produce reports of civic engagement activities from the database as needed. Develop educational material related to the database, including a “how to” guide, templates, email, and other related resources.

Campus Civic Engagement:

  • Support the Dragon Volunteers program with oversight from the Assistant Director; support biannual one-day civic engagement events for Drexel employees.

  • Support students and student organizations seeking service opportunities through the Lindy Center for Civic Engagement; specifically provide support to student organizations utilizing Lindy Center space.

  • Support the Lindy Center’s vision for political engagement including voter registration fairs, encouraging voter turnout, and educational events in collaboration with Drexel’s CEEP Fellow.

  • Support a standard civic learning and engagement Certificate program by managing and scheduling training offerings from other campus offices.

  • Activate the Lindy Center office as an additional campus study lounge and civic engagement venue by hosting monthly events for Drexel students, faculty, and staff.

  • Provide additional planning and logistical support for signature civic engagement events and the Lindy Center end-of-year celebration.

  • Represent the Lindy Center in campus and community meetings, conferences, and public events as needed.

Required Qualifications

  • Bachelor’s Degree

  • 1-3 years of relevant experience

Preferred Qualifications

  • Strong organizational skills and the ability to manage several projects simultaneously.

  • Ability and interest to engage with diverse community partners.

  • Ability to work collaboratively with various campus partners.

  • Ability and willingness to work evenings and weekends as required.

  • Interest in working within a university student affairs office

  • Excellent written, verbal, and interpersonal skills.

  • Excellent administrative skills.

  • Strong presentation skills and/or demonstrated training experience desirable.

  • High level of proficiency in Microsoft Office including Word, Outlook, PowerPoint, and Excel.
